General Company Settings

How to configure your general company settings.

ACCESSING GENERAL COMPANY SETTINGS

The General Company Settings section configures the administrative settings of your Namely platform. Permission to access this section is generally limited to administrators, however, organizations can allow select areas of the Settings section to be available to managers, directors, or other leadership roles, according to their preferences.

To access your Company Settings page:

  1. In the navigation bar, click Company.

  2. Click Settings.

UPDATING YOUR COMPANY INFO

Click the Company Info tab to update basic company information, including name, preferred currency type, time zone, and login page picture. 

Company Name

Enter your company name in the Company Name text box. Your company name displays at the top of your organization’s NewsFeed, your login page, and in system generated emails. 

Currency Type

Use the Currency Type dropdown menu to select the default currency type for your company.

Time Zone

Use the Time Zone dropdown menu to select the default time zone for your company.

Date Format

Use the Date Format dropdown menu to select default date format for the company.

  • Employees can set their individual date format preference using the Settings dropdown in the navigation bar. For more information, see Personal Account Settings

Allow User to Create Skill Tags

To allow employees to create their own skill tags, select the checkbox.

Hide Profile Performance Graph

To hide performance graphs in the Performance section of the employee profile, select the checkbox.

Bio Length Field

Enter the number of characters you want to allow for the Bio field of the employee profile.

Custom Images

To upload a custom image to display as the background of the Login page:

  1. Click Upload File.

  2. Choose the image you want to upload.

  3. Use the following specs when choosing your image:

  • Recommended Image Dimensions: 1500px x 800px

  • Acceptable File Formats: jpg, png, gif

  • Maximum File Size: 5MB

To upload a custom image or logo to display on the 
Namely homepage:

  1. Click Upload File.

  2. Choose the image you want to upload.

  3. Use the following specs when choosing your image:

  • Recommended Dimensions: 400px x 220px

  • Acceptable File Formats: jpg, png, gif

  • Maximum File Size: 5MB

After making any desired changes to your company info, click Save.

SENDING INVITATIONS

If you are creating new user profiles manually, or have recently completed implementation and are ready to launch Namely at your company, you can use the Invitations tab to invite employees to access Namely.

To invite a new user:

  1. Select the checkbox next to their name in the Invitations list.

  2. Click Send Invitations

The user will receive an email with instructions for logging into Namely. You can resend the invitation as many times as necessary, but once the user has logged in, their name will no longer appear on the list and invitations can no longer be sent to them.

SETTING YOUR OVERHEAD

Enter your Company Overhead Multiplier and Annual Billable Hours per person.

  • The Annual Billable Hours is used to determine hourly employees' annual compensation estimate. It will also determine custom teams' annual costs.

Save after making any changes. 

IMPORTING DATA

Use the Import tool to import data into Namely and map it to employee profiles. You can import data like:

  • Demographics

  • Performance

  • Salary history

  • Bonus information

  • Reports to

  • Time-off information

  • Time-off requests

  • Goals

  • Documents

UPLOADING RESOURCES

Refer to this video: Uploading resources

Upload important company documents, videos, or links, and make them available to your employees using the Resources section.

Upload a File

To upload a file to your Resources page:

  1. Click Add File.

  1. Enter the name you want to display for the file.

  2. Enter a short description for the file.

  3. Click Upload File.

  4. Choose the file you want to upload.

  5. Select the folder you want to move the file to from the dropdown menu (optional).

  6. Click Save File.

Add a Link

To add a link to your Resources page:

  1. Click Add Link.

  1. Enter the name you want to display for the link.

  2. Enter a short description for the link.

  3. Enter the link URL.

  4. Select the folder you want to move the link to from the dropdown menu (optional).

  5. Click Save Link.

Create a Folder

To create a new folder to organize your resources:

  1. Click Add Folder.

  1. Enter the folder name you want to display.

  2. Click the checkmark.

CREATING ESIGNATURE DOCUMENTS

If your organization uses Namely Onboarding, you can upload and edit documents for new and existing employees to read and sign.

HOMEPAGE UPDATES

You can configure the functionality of your newsfeed, including enabling "likes", comments, mentions, and appreciations. You can also customize which announcements are published in the newsfeed and surfaced in the homepage widgets.

SETTING NOTIFICATIONS

You can customize notifications for different features in Namely. Depending on the feature, you can choose what types of notifications are sent and who will receive them.

For all notification types, administrators can determine whether users receive site notifications, which display in the alert bell in the navigation bar, and/or email notifications, which are sent to the employee’s company email address. Enabling the customize notification checkbox lets employees choose what notifications they want to receive.

Note: Disabling site notifications also disables email and mobile notifications.

Time-off notifications

There are four different types of time-off notifications:

  • New Time-Off Request: Managers or other approvers are notified of a new employee time-off request.

  • Deleted Time-Off Request: Employees, managers, and approvers can be notified if a time-off request is deleted from the employee profile.

  • Response to Time-Off Request: Employees, managers, and other approvers can be notified when a time-off request is approved or declined.

  • Edited Time-Off Request: Employees, managers, and other approvers can be notified of any edits to a time-off request. 

Select who will receive time-off notifications using the Recipients dropdown menu. You can choose:

  • Requester only

  • Everyone with permission

  • Entire reporting tree

  • Direct report only

To additionally notify dotted-line managers of time-off requests, select the Use Dotted Line check box.

To add recipients, enter their name in the Additional Recipients text box.

Additional Notifications

  • New File Export: Administrators can be notified when their review exports from Performance Management are completed.

  • eSignature: Administrative signers can be notified when they need to take action on an eSignature document.

  • @Mentions: Employees: Employees can be notified when they've been @mentioned in the newsfeed.

  • @Mentions: Team: Teams can be notified when they've been @mentioned in the newsfeed.

  • Onboarding: Session Created Through ATS: Users can be notified when an onboarding session that requires their action has been created.

  • User has been appreciated: Users can be notified when they've been appreciated.

LOGIN PAGE

Login Methods

You can decide which Login Method employees use to access Namely. Employees can log in using:

  • Namely or Google credentials

  • Only their Google credentials

  • Only through SAML

Security Assertion Markup Language (SAML)

SAML exchanges authentication and authorization information between parties to allow single sign-on (SSO). Namely partners with Okta for SSO, but you can use any SAML.

To enable SSO to Namely: 

  1. Select the Enable SAML checkbox. 

  2. Enter the Identity provider SSO URL.

  3. Enter the Identity provider certificate.

  4. Click Save
